Today we are advising the CAOT – BC and
ICBC Rehabilitation Department have worked collaboratively to develop two new
reporting templates for all Occupational Therapy professionals to use when
completing either an initial assessment or a progress report.
ICBC’s Rehabilitation Department is undergoing many changes.
These changes are part of an overall ICBC corporate transformation strategy
which is currently underway as the corporation moves to become a more
customer-centric company that understands their customers’ needs and is meeting
or exceeding their customer expectations.
The new Occupational Therapist reporting templates are
attached for your convenience and use becomes effective June 1, 2012.
How to use the new templates:

These templates are to be used only for files
assigned via the ICBC Rehabilitation Department staff members; and does not
currently apply to any requests for services by ICBC claims adjuster staff.

The initial assessment template is to be used
only on new files that are assigned from June 1, 2012.
·
The progress report template is to be used for
all Rehabilitation Department files (existing and new referrals) starting June
1, 2012
Reporting timelines for using
the new templates:
·
Complete an initial visit with the client within
7 working days of receipt of the referral assignment
·
Submit the Initial Assessment report within 7
working days following the initial visit with the client (within 14 working
days from date of assignment)
·
Submit progress reports every 90 days
·
Contact the ICBC Rehabilitation Department
referral source to advise of any delays in the timeline
·
Email subject heading: claim # /customer last
name/first name/initial assessment
·
Email subject heading: claim # /customer last
name/first name/progress #1 ,2, 3, etc.
In recognition that it will take time to implement
these new reporting templates and timelines, and that further enhancements may
be required, a 3-month trial period from June 1 to September 1, 2012 has been
established.
During this 3-month period, feedback regarding use of either
templates should be documented and submitted to both CAOT-BC (Giovanna
Boniface) and ICBC (Steven Comberbach) for review at the end of the trial
period. Additionally, it has yet to be determined if billing related to
implementation of the new templates will change in relation to the
existing Service Provider Guide working with ICBC’s Rehabilitation
Department document. As part of the feedback process, we hope to
learn if the new templates are creating time efficiencies, or if they are
extending the reporting process.
During the 3 month trial period while
therapists are implementing the new reporting structure, one (1)
additional hour of time to complete reports can be billed, if required. Please include
comments related to the time required to complete reports in the feedback
provided to CAOT-BC and ICBC, as this will be evaluated at the end of the
3-month trial period.
Strong collaborative efforts have been made to ensure that
these new reporting templates meet the professional needs of both Occupational
Therapist and ICBC Rehabilitation Department staff in their common goals to
ensure excellent services are provided those who are seriously injured in car
crashes.
